Computer Advice from the Experts

Backing Up Your Data

Protect Your Computer and Valuable Data

What is Malware?

Most companies realize the need for backing-up their precious data. It is not a question of "if" but of "when" a major failure will send you scrambling to restore your data as quickly as possible. But will the data be available? How do you know? Establishing backup procedures and following through religiously is only half of the equation. Without regular recovery testing and audits, nobody knows if backups are really recoverable. Gartner Research (a highly respected technology research organization) estimates that 20% to 30% of current backed-up data is probably not restorable due to hardware and/or software
failure.

In a recent survey conducted by Gartner, 64% of small to medium-sized businesses said they backed up their data on-site and also stored it there. That could have disastrous results because anything that happens to their original data source, such as a server, will also happen to their backups.

There are two solutions to this problem and can both be used together.

If you do tape backups, have some responsible person take the most recent backup tape home with them when they leave for the night. A tape is small and can easily fit into a handbag or coat pocket. Educate them to keep the tape away from magnetic forces and high heat or humidity, and keep it in the tape container; not loose with the actual tape exposed.

Clean the tape drive on a regular basis, such as once a week. Every quarter, archive the most recent set of tapes and introduce new media. Have two sets of revolving media for each day you have data changes ( M-F would require 10 tapes, 6 day operations would require 12 tapes, and 7 day operations would require 14 tapes). Remember, a lot of data problems are contributable to human error. If it takes you a week to discover the error,
and you only have one set of tapes, you have already taped over your last good backup.

The second method is best, but only feasible if you have a high-speed Internet connection such as cable, FiOS, T1, or true high-speed DSL. That method is to hire a professional data storage company to do off-site backups. You data is stored at a highly secure data center and usually mirrored to a redundant site geographically removed from the first. The
data is securely encrypted in transit and checksums are also transmitted to verify data integrity.

The best plan would involve using both methods. Remember, for most companies today, your data IS your business. Data loss can mean the loss of accounts receivable, Tax information, pending sales, loss of compliance with government regulations, and even customer loyalty. According to the University of Texas, Center for Research on Information Systems, 90% of all companies that experience catastrophic data loss due to a disaster are out of business within two years, and nearly 50% never reopen their doors at all.

What does all this cost? Well, it isn’t cheap but compared to the cost of data loss, it is cost effective.

You’ll sleep better at night knowing your data is secure.

Protect Your Computer and Valuable Data

You have pictures, videos, contacts, personal information and more on your computer. The value on this information can be enormous!

Computers are very reliable but as with any equipment it will break. When this happens, and it will, your valuable information could be lost forever.

There are also attacks on your computer from the internet via web sites and email. There are hackers, viruses, Trojans and other nasty things trying to get at your system. Spyware and Adware can invade your computer and send out information about you and your activities and slow your computer due to their use of system resources.

To protect your computer you need to have four things in place:

1. Antivirus software - this will check your computer for viruses and keep it clean.

2. Firewall - this will keep hackers form getting into your system.

3. Spyware / Adware checker and removal software - this will monitor your system and keep the spyware and adware away.

4. Backup - THIS IS MOST IMPORTANT - you must backup your information, picture, videos, music and anything else important. This must be done periodically (at least once per week) to an external drive or a reliable backup site on the internet.

I hope we didn't scare you. If you have the four basic things in place, your computer and information will be safe.

What is Malware?

One of the biggest threats today to users of the Internet is Malware.

Malware is short for malicious software, a program or file that is designed to specifically damage or disrupt a system, such as a virus, worm, or a Trojan horse.

Malware is a major nuisance that can hijack your browser, create pop-up ads, track the web sites you visit, and slows your computer down to a crawl.

There are several types of malicious software, the most common being Adware, Spyware and Hijackers.

What is Adware?

Adware is a type of software that places advertisements on your computer. From pop-ups, ads that are embedded within a program to ads that sit on top of a suspicious website, adware can show up while your surfing the Internet, playing a game, paying your bills, etc.

What is Spyware?

Software classified as spyware “spies” on you and your computer habits. Spyware sends the information found about you and your computer to somebody you don’t even know. Some spyware is so bad that it can send back information you type into web forms, search your hard drive for programs you have installed and obtain access to your email program’s address book. Spyware results are sold to spammers who have access to your web browser history, passwords, phone numbers or even credit card numbers.

What are Hijackers?
As the name implies, Hijackers take control of your web browser (Internet Explorer / Firefox / Opera / Safari) and can change your home page. Hijackers also redirect you to suspicious websites or block from certain sites.

What can you do to combat Malware?

Today’s newer web browsers (Internet Explorer 7/ Firefox 2) have taken steps in the effort to combat malicious software. If you have not already done so, you should upgrade to Internet Explorer 7 or Firefox.

There are also great programs that you can use to fix spyware. Programs such as
SpyBot Search and Destroy (http://www.safer-networking.org) or AdAware (http://www.lavasoftusa.com) offer strong protection against all types of Malware.
